What prospecting tool should a small B2B sales team use? Start with the job, not the tool. If you need contact data and a simple way to send sequences, one all-in-one platform such as Apollo usually covers it. If your selling depends on LinkedIn and email working together, a multichannel tool such as lemlist fits better. If you mainly need accurate contact details for people you already know you want, a data tool such as Seamless.AI is enough. An AI SDR such as AiSDR makes sense only once your targeting and message are proven by hand.

Small teams rarely fail for lack of tools. They fail by buying three that overlap, using each at a third of its capacity, and sending generic messages at a volume that damages their own domain. This guide is meant to help you buy one tool well.

Apollo

Apollo combines a large B2B contact and company database with email sequencing, so one tool covers building a list and sending to it. It offers a free plan, which makes it the easiest place to start. Paid plans add more credits, which are what you spend to reveal emails and phone numbers and to use some features; unused credits do not roll over.

Choose it if you want one place for data and outreach and you are starting from scratch. Look elsewhere if your selling runs mainly through LinkedIn, or if you already have a CRM with sequencing and only need data.

Seamless.AI

Seamless.AI focuses on finding contact information for the people and companies you search for, including through a browser extension that works while you browse. It offers a free trial; paid plan prices are not published.

Choose it if you already know who you want to reach and need accurate details. Look elsewhere if you want sequencing and sending in the same tool.

lemlist

lemlist runs outreach across email, LinkedIn, and other channels in a single sequence, with a built-in lead database and tools to protect deliverability. Its published pricing starts at $55 per user per month for email and $87 for multichannel, as listed in October 2026.

Choose it if your buyers respond to a mix of LinkedIn and email, which is common for advisory and professional services. Look elsewhere if you only send email and want the lowest cost per seat.

AiSDR

AiSDR is an AI sales development agent. It decides who to target from your criteria, researches them, writes outreach, sends it across email and LinkedIn, and logs activity to your CRM. Its published pricing starts at $250 per month on a month-to-month plan, as listed in October 2026.

Choose it if you have a message and target list that already work by hand and you want more volume without hiring. Look elsewhere if you have not yet proven who buys from you and why. Automating an unproven message only produces more replies saying no.

How to choose without paying for overlap

  1. Write down the one job you need done this quarter. Building a list, sending sequences, LinkedIn and email together, or volume.
  2. Check what you already own. Many CRMs include sequencing. Do not pay twice for it.
  3. Trial one tool for thirty days against a defined list of fifty to a hundred prospects, and measure replies, not opens.
  4. Add a second tool only when the first is fully used and the gap is specific.

Protect your domain before you send

Cold outreach from the domain your invoices and client email depend on is a real risk. Send from a separate domain or subdomain, set up SPF, DKIM, and DMARC on it, warm it up gradually, keep daily volumes modest, and honor unsubscribes immediately. Questions, answered plainly

Do we need more than one prospecting tool? Usually not at first. Most small teams are better served by one tool that covers data and sending, used well, than by three tools with overlapping features and partial adoption.

Will an AI SDR replace a salesperson? No. It can handle research, first drafts, and follow-up at volume. It cannot run a discovery call, read a room, or own a relationship, and its messages still need a human's judgment on targeting and tone.
